Creating user accounts in eDesk helps your team manage customer support more efficiently. Each user gets their own login, allowing for better collaboration and visibility.

This guide will show you how to add new users to your account.


Before you start

  • You’ll need an Admin login to eDesk to create users. If you don’t have one, ask an Admin in your account to grant access.


01 Adding a new user via email

  1. Go to Settings > Company Settings > Users > click + Invite users.

    Or click the Users icon at the bottom left of your screen.
  2. In the invite window, enter one or more email addresses (separated by commas or pasted as a list).

  3. eDesk will validate each address and flag any issues such as:

    • Invalid email

    • Duplicate address already in the account

  4. Once the emails are entered, choose the user role you want to assign (Agent, Team leader, Admin etc.). You can always change the user's role at a later time if needed.

  5. Click Send invite.

  6. The invited users will receive an email prompting them to verify their address and set up their account.

Note: Your account will be charged for all new added users at the rate shown in the pop-up at the time of invitation (pro-rata until the end of the current billing cycle and then the full amount on the next payment date).


02 Adding a new user via a link

If you'd prefer to share a link rather than entering email addresses:

  1. Click Copy link in the invite window.

  2. A unique invite link is generated - share it with anyone who doesn’t already have an account.

  3. When the recipient clicks the link, they'll be brought to a page where they can enter their email address.

  4. The Admin will see the new user under Settings > Company Settings > Users > Pending requests. They can then assign a role and send an invite to the new user. 

  5. The invited users will receive the email prompting them to verify their address and set up their account.

Note: No one will be granted access until approved by an Admin, making this a secure way to invite users.
